Chris Tensen- introduced a proposed Helping Hands program as an added
option of service to Shadow Lake Village homeowners. “Handyman” services will be offered to
individual homeowners for personal needs at a cost to the homeowner of $45 per
hour with a minimum charge of $25. The
Board of Trustees tabled this proposal for further discussion.

Review of minutes:

Review of the minutes for the January 16th Workshop Meeting and the January 23rd Business Meeting was completed. They will be prepared for acceptance during the February 27th Business Meeting.
Treasurer’s Report:

We are showing a $1,628.00 unfavorable variance through the end of
January.
Ø
Snow expenses will be a problem for February.
Ø
A chart of accounts has been completed.

There will be new accounts added to the February financials.

Ray reviewed the investments.

The insurance audit and the “New Board Member” orientation program have
been added to the Action Items list.

“Schedule meeting with attorney in July” has been added to the monthly

Unfinished Business:

Ø
Walt Lohmann advised that we have not received any written confirmation
from the DEP in reference to their previous phone call advising that we will be
fined for not having a water allocation permit.
Ø
Due to unforeseen circumstances, scheduling hook-up for the Generations
Online computer will be rescheduled.
Ø
Walt Lohmann, Mary Carhart, Fr. Joe Quinlan, and Rich Carpenter will
meet this week to review Middletown Electric’s proposal to install surge protection
for the pool and irrigation pump meters.
Ø
Fr. Joe Quinlan has contracted with Capitol Environmental Services to
remove and dispose of the asbestos tile floor in the Ballroom. Eberhardt Flooring will replace the floor
with vinyl tile after asbestos tiles are removed. Remodeling of the Billiard Room and painting
of the Clubhouse will shortly follow.

Rich Carpenter advised that Monmouth Medical Center has been scheduled
to present a seminar open to all residents of Shadow Lake Village on “Sleeping
Disorders.” A date will be confirmed and
posted on Channel 21.

Fr. Joe Quinlan will make a motion at the February Business Meeting, to
place a plaque in memory of Emma Siegal on the wall outside the Navesink Room.
Ø
Walt Lohmann advised that he and Dave Howell are still in the process
of updating the Architectural Control Committee Guidelines.
Ø
Kevin Byrne advised that an Emergency Management Manual for Shadow Lake
Village has been prepared by Board Members and Managers and will be forwarded
to Middletown’s Office of Emergency Management for recommendations.
New Business:

Fr. Joe Quinlan has reviewed pool proposals, from Sun and Surf,
Candlewood, and American Pool, for the upcoming pool season. He will make a motion at the February
Business Meeting to accept American Pool Company’s proposal.
Ø
A discussion was held concerning “under stairwell” storage. Karl
Strauch is proposing that a change be made to the Rules and Regulations and has
referred his proposal to the Architectural Control Committee for review.
Ø
At the next Business Meeting, Mary Carhart will ratify a previous
motion taken by phone allowing Selective Service Testing use of the
Shrewsbury/Navesink Rooms to conduct Alzheimer’s testing open to all residents.
Trustees’ Reports

Ø
Mary Carhart will make a motion at the next Business Meeting approving
an additional $15,000 to be utilized for exterior carpet replacement.
Ø
Kevin Byrne commended Mary Carhart for her work as Maintenance liaison
during the snowstorm.
Ø
The Woman’s Club would like to use the Ballroom on Tuesday December 2,
2003, to allow school children from the River Plaza School to sing at their
Christmas Party. Fr. Joe Quinlan was
supplied with a Certificate of Insurance for the Woman’s Club. He will make a motion at the February Business
Meeting.
Ø
Katsy Willey will announce next week June 12, 2003 as the date for the
Board of Trustees elections.
Ø
Karl Strauch reviewed Security’s experiences during the snowstorm. They received numerous calls for
assistance. Karl commended Sgt. Simmons
for staying at Shadow Lake Village for 24 hours during the storm.
Ø
Kevin Byrne reminded the Board of Trustees that a handout is given to
new residents requesting information on their “forté”. The information is on
file in the Administration Office and is available for Board use when
consultation is needed.
Ø
Fr. Joe Quinlan requests that Boathouse Maintenance concerns be
addressed at the next Workshop Meeting.
